Job Description:

We are seeking an experienced and detail-oriented Administrative Assistant to support our expanding operations. This role is essential for maintaining the high standards of our luxury office and retail activities. You will be responsible for streamlining daily operations, managing critical documentation, and ensuring seamless communication between our sales team, management, and elite suppliers. The ideal candidate will possess a professional demeanor and the organizational prowess required to thrive in a high-pressure luxury retail setting.

🔹 Key Responsibilities:

  • Oversee and manage the daily administrative operations of the gallery to ensure efficiency.
  • Handle high-level correspondence, manage contracts, and organize sensitive corporate documentation.
  • Coordinate effectively with international suppliers, high-net-worth clients, and internal departments.
  • Provide structured administrative and operational support to the sales and Management teams.
  • Maintain highly accurate records, financial reports, and sophisticated filing systems.
  • Ensure the office and reception areas maintain a professional and luxury-standard appearance.
  • Liaise with the Human Resources department for office staff coordination and administrative reporting.

🔹 Requirements:

  • Bachelor’s Degree or Diploma in Business Administration, Office Management, or a related field.
  • Previous experience in an administrative role (Experience in luxury jewelry or retail is highly preferred).
  • Strong organizational skills with a focus on meticulous attention to detail.
  • Proficiency in Microsoft Office applications (Excel, Word, and Outlook).
  • Proven ability to manage client coordination and handle complex documentation efficiently.
  • Professional appearance and a positive, solution-oriented attitude.
  • Fluent in English (knowledge of Arabic is considered a distinct advantage).
  • Excellent communication skills suited for a high-end retail environment.
  • Must currently be residing in the UAE.
