Job Description:
We are looking for a professional, proactive, and highly organized Executive Secretary to join our senior management team in Abu Dhabi. This role is essential for ensuring the efficiency of our executive office, requiring a candidate who can balance complex administrative tasks with a high degree of discretion. You will act as a key liaison between the senior leadership and various internal and external stakeholders. The ideal candidate will have prior experience in a fast-paced hotel or corporate setting and possess the communication skills necessary to represent our brand at the highest level. We are looking for a well-groomed professional who thrives under pressure and maintains absolute confidentiality in all business matters.
🔹 Key Responsibilities:
- Provide comprehensive administrative and secretarial support to the senior Management team.
- Manage complex calendars, appointments, high-level meetings, and detailed travel arrangements.
- Prepare professional correspondence, detailed reports, executive presentations, and accurate meeting minutes.
- Professionally handle incoming calls, emails, and official communications on behalf of the executive office.
- Coordinate effectively with internal departments and external stakeholders to ensure operational alignment.
- Maintain highly organized filing systems and secure confidential records according to hotel standards.
- Liaise with the Human Resources department regarding executive staffing and official documentation.
- Work with the Engineering and maintenance teams to ensure the executive suite and meeting facilities are in perfect condition.
- Follow up on action items from meetings to ensure timely completion by relevant department heads.
🔹 Requirements:
- Mandatory: Candidates must currently be based in the UAE.
- 2–3 years of experience as an Executive Secretary or in a similar role within a hotel or corporate environment.
- Bachelor’s Degree, Diploma, or relevant professional certificate in Administration or Hospitality.
- Excellent written and verbal communication skills in English; proficiency in Arabic is considered an advantage.
- Strong proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- High degree of professionalism, discretion, and the ability to maintain strict confidentiality.
- Exceptional organizational and time-management skills with the ability to multitask under pressure.
- Well-groomed appearance with a positive and professional attitude.
- Proven ability to work independently and handle sensitive business correspondence.
