Job Description:

Chartford is looking for a highly organized, detail-oriented, and professional Secretary / Administrative Assistant to join its team in Abu Dhabi. This role is central to our daily operations, requiring an individual who can provide comprehensive administrative support to senior staff and management. You will be responsible for managing executive communication, coordinating complex schedules, and ensuring that all office documentation is maintained with absolute accuracy. We are seeking a proactive professional who can represent Chartford with a positive attitude, handling diverse clerical tasks while maintaining the highest levels of confidentiality and discretion in a corporate setting.

🔹 Key Responsibilities:

  • Coordinate and manage complex calendars, high-level meetings, and appointments for senior management.
  • Handle incoming phone calls, professional emails, and other official correspondence in a timely manner.
  • Organize, maintain, and update sensitive files, records, and important corporate documentation.
  • Prepare detailed reports, professional presentations, letters, and internal communications as required.
  • Provide comprehensive administrative support to ensure smooth and efficient day-to-day office workflow.
  • Greet and assist visitors, clients, and business partners with a courteous and professional demeanor.
  • Liaise with the Human Resources team to coordinate office-wide communications and staff documentation.
  • Utilize Information Technology tools and MS Office applications to enhance office productivity.

🔹 Requirements:

  • Minimum High School Diploma; a Bachelor’s degree in Business Administration or a related field is preferred.
  • Demonstrated experience working as a Secretary, Administrative Assistant, or in a similar professional capacity.
  • Excellent verbal and written communication skills in English; Arabic language proficiency is a distinct advantage.
  • Strong proficiency in MS Office applications, including Word, Excel, PowerPoint, and Outlook.
  • Ability to manage multiple tasks, prioritize heavy workloads, and work independently.
  • High level of confidentiality, integrity, and professional discretion.
  • A professional appearance and a positive, collaborative attitude.
  • Familiarity with modern IT office equipment and digital filing systems.
