Job Description:

We are executing a strategic professional appointment within our core corporate administrative branch and are seeking an experienced, operationally authoritative Executive Secretary to C-Level to govern executive office management pipelines and direct executive communication pathways in Dubai. 🔹 Key Responsibilities:

  • Provide comprehensive, high-fidelity administrative, secretarial, and strategic office support to C-level executives.
  • Manage complex executive calendars, verify priority appointments, arrange multi-tier meetings, and orchestrate international travel itineraries.
  • Prepare professional corporate correspondence, technical status reports, boardroom presentations, and official documentation files.
  • Coordinate seamlessly with internal departmental heads and external corporate stakeholders to facilitate core executive activities.
  • Handle highly sensitive corporate data and private organizational details with absolute professionalism, integrity, and operational discretion.
  • Ensure highly efficient office administration workflows and provide timely, structured follow-up tracking on active executive tasks.
  • Screen incoming communication streams, routing calls, digital inquiries, and physical documentation sets to appropriate branches.
  • Organize and index executive-level record registries, maintaining clear data trails for rapid corporate recovery.

🔹 Requirements:

  • Bachelor’s Degree or Diploma in Business Administration, Office Management, Secretarial Studies, or a closely related professional field from an accredited institution.
  • A minimum of 2 to 3 years of verified, high-performance professional history operating an executive office desk, running executive administrative setups, or supporting C-suite directors inside the United Arab Emirates, demonstrating absolute familiarity with corporate property environments. Tagalog-speaking candidates are highly preferred to optimize cross-functional communication loops within the current executive setup.
  • Advanced technical workspace data literacy with sharp capabilities structuring priority tracking indices, filtering client logs, and generating data lists inside Microsoft Excel databases.
  • Deep, comprehensive operational knowledge across the following primary functional dimensions:
    • Executive calendar configurations and complex meeting management models, timezone balancing, and scheduling logistics.
    • Administrative support frameworks and secretarial best practices, office governance, and corporate hierarchy layouts.
    • Microsoft Office software applications including Excel, Word, and PowerPoint alongside professional business correspondence rules.
    • Technical document preparation practices, electronic archiving rules, indexing frameworks, and digital file security setups.
    • Professional communication tactics, boardroom etiquette, active listening models, and high-discretion data containment.
