Job Description:
We are seeking an experienced Administrative Assistant to join our team in Dubai. This role is essential for ensuring smooth, professional, and efficient office operations, with a heavy emphasis on DMCC portal management and regulatory compliance. You will be the backbone of our administrative function, handling everything from executive correspondence to complex licensing documentation. The ideal candidate is a highly organized professional with significant Dubai-based experience who can manage multiple tasks with precision while maintaining our institutional standards of integrity and service quality.
🔹 Key Responsibilities:
- Manage the full lifecycle of DMCC operations, including portal use, compliance documentation, and license renewals.
- Oversee all office correspondence, including professional emails, calls, and courier handling.
- Organize and maintain sophisticated physical and digital filing systems for rapid information retrieval.
- Handle precise data entry and document management, ensuring 100% database integrity.
- Coordinate executive calendars, schedule high-level meetings, and manage complex travel arrangements.
- Prepare, track, and file invoices while managing petty cash and assisting in basic financial administration.
- Maintain comprehensive Human Resources records, including contracts, attendance, and leave tracking.
- Support onboarding documentation for new hires and facilitate smooth departmental integration.
- Liaise with the Management team to prepare reports, presentations, and official corporate correspondence.
- Coordinate with Engineering or maintenance vendors for office facility upkeep and supply management.
🔹 Requirements:
- Bachelor’s Degree, Diploma, or relevant certification in Business Administration or a related field.
- Mandatory 4–5 years of solid administrative experience within the Dubai market.
- Proven expertise in DMCC operations (Portal management, regulatory processes, and licensing).
- Excellent organizational skills and the ability to manage multiple high-priority tasks efficiently.
- Strong verbal and written communication skills in English; Arabic is a plus.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and document management systems.
- Ability to work full-time morning shifts in Dubai, UAE.
- Professional demeanor with a proactive approach to problem-solving.
