Job Description:

We are currently seeking a highly organized and detail-focused Operations Coordinator to join our team in Dubai. This role is central to our supply chain and manufacturing workflows, requiring a professional who can seamlessly manage purchasing, invoicing, and documentation tasks. You will be responsible for ensuring that materials are procured on time and that all export and financial documentation meets strict regulatory standards. The ideal candidate is a proactive individual who is highly proficient in ERP systems and confident in managing complex operational data. You will play a key role in maintaining smooth coordination between our finance, warehouse, and project teams.

🔹 Key Responsibilities:

  • Manage purchase orders for stock materials and spare parts to ensure uninterrupted manufacturing and stock availability.
  • Obtain competitive quotations from suppliers and prepare detailed price comparison reports for the Management team.
  • Oversee invoicing activities, including the accurate bundling of items within the ERP system.
  • Prepare and maintain comprehensive export-related documentation in strict compliance with UAE and international regulations.
  • Process payment requests for approved orders and maintain monthly invoicing summaries.
  • Generate accurate monthly stock reports and inventory records to monitor stock movement.
  • Coordinate with FJT Finance for the preparation and submission follow-ups of Letter of Credit (LC) documentation.
  • Liaise with the Human Resources department regarding operational staffing needs and documentation for field technicians.
  • Work closely with the Engineering team to review project locations and document technical completion for Orion project records.

🔹 Requirements:

  • Bachelor’s degree in Business Administration, Operations, or a related discipline.
  • Minimum 2–4 years of practical experience in operations coordination, purchasing, or invoicing roles.
  • Mandatory: Hands-on experience working with ERP systems.
  • Strong coordination, analytical, and technical reporting skills.
  • Excellent organizational abilities with a high degree of attention to detail.
  • Prior exposure to export documentation and Letter of Credit (LC) procedures is a significant advantage.
  • Effective communication skills to interact with global suppliers and internal departments.
  • Ability to handle multiple responsibilities and meet strict operational deadlines.
