Job Description / Role
🔹 Key Responsibilities:
- Guest Relations: Greet and assist visitors, clients, and partners with warmth and professional decorum as the first point of contact.
- Switchboard Management: Efficiently manage high-volume incoming phone calls, screening and forwarding them to the appropriate departments.
- Appointment Scheduling: Oversee and manage executive meeting room bookings and appointment calendars for various internal departments.
- Administrative Support: Provide basic administrative assistance, including handling couriers, sorting mail, and assisting with document preparation.
- Front Desk Maintenance: Ensure the reception and waiting areas are consistently tidy, organized, and reflective of the company’s professional standards.
- Cross-Departmental Coordination: Liaise effectively with internal staff to notify them of visitor arrivals and facilitate smooth daily operations.
🔹 Requirements:
- Communication Skills: Strong English proficiency is mandatory; ability to communicate clearly and professionally in person and over the phone.
- Presentation: Professional appearance and grooming, with a pleasant and approachable personality.
- Technical Literacy: Basic knowledge of computers, email systems, and standard office equipment (printers, scanners, PBX systems).
- Experience: Previous experience in a receptionist, front desk, or customer-facing administrative role is considered a significant advantage.
- Education: Bachelor’s degree holder or Diploma in a related field.
- Soft Skills: Excellent multitasking abilities, organizational mastery, and a proactive attitude toward problem-solving.
