Job Description:
Hiva Studios is currently looking for a highly organized and tech-savvy Virtual Assistant to join our remote team. This role is essential for ensuring that our daily operations run smoothly by managing critical communication channels and organizing project documentation. As a Virtual Assistant, you will act as the administrative backbone of our digital workspace, handling everything from calendar coordination to data management. 🔹 Key Responsibilities:
- Manage and organize complex email accounts, calendars, and scheduled appointments with high efficiency.
- Maintain well-structured digital filing systems and ensure proper documentation management within the cloud.
- Perform accurate data entry and assist with detailed reporting and routine administrative tasks.
- Prepare professional presentations, complex spreadsheets, and other digital support materials as required.
- Coordinate project tasks and ensure strict deadlines are met without the need for constant supervision.
- Liaise with the management team to provide administrative updates and operational support.
- Coordinate with Human Resources regarding remote team scheduling and internal communication protocols.
- Utilize various Information Technology platforms and Google Workspace tools to streamline team collaboration.

- Bachelor’s Degree or Diploma in Business Administration, Communications, or a related field.
- High proficiency in Google Workspace tools including Gmail, Docs, Sheets, Calendar, and Drive.
- Strong administrative skills in email handling, professional scheduling, and digital file organization.
- Highly comfortable learning and adapting to new IT tools and project management software.
- Excellent written and verbal communication skills in English.
- Strong organizational ability with a proven track record of effective time-management.
- Self-motivated mindset with the ability to manage tasks independently in a remote setting.
- Prior experience in a creative agency or a management support role is an advantage.
