Job Description:
We are seeking a well-organized and detail-oriented Admin & Document Control Coordinator to join our professional operations team in Dubai South. This role is fundamental to our organizational framework, requiring a professional who can deliver record-keeping precision for management and internal audit performance review. You will be responsible for structuring files, processing Local Purchase Orders (LPOs), managing supplier verification updates, organizing enterprise contracts, and preserving strict data accuracy across channels. We are looking for an individual with a strong foundation in Document Control Metrics, Office Administration, and Procurement Back-Office Coordination and a proactive approach to commercial efficiency. 🔹 Key Responsibilities:
- Manage and organize multi-departmental corporate files, contracts, and invoices to meet management and compliance targets.
- Support structural integrity in Dubai South, managing centralized document control software tracking lines with 100% precision.
- Liaise with the Human Resources department, internal project procurement units, and external suppliers to facilitate professional organizational coordination of paperwork pipelines.
- Process vendor correspondence, follow up on LPOs, and secure timely signature clearances in line with internal office compliance strategies.
- Utilize digital Information Technology tools and specialized databases to optimize indexing models, handle email channels, and prevent file redundancy or document data leaks.
🔹 Requirements:
- Bachelor’s degree, Diploma, or Certificate in Business Administration, Office Management, or a related discipline preferred.
- 2 to 4 years of solid professional experience within the UAE handling office administration, document tracking, or procurement assistance pipelines.
- Strong background in management of high-volume paperwork logs, LPO verification tracks, and external vendor communication histories.
- Professional background in education regarding document version controls, electronic archive systems, and commercial administrative practices; excellent written and verbal English communication abilities are essential.
- Advanced operational skills in MS Excel, MS Word, and MS Outlook applications.
- Ability to demonstrate operational excellence, address multiple logistical requests under strict schedules, and thrive in a fast-paced Dubai South commercial landscape.
