Job Description:
We are seeking a professional, polished, and highly organized Executive Assistant cum Reception Administrator to join our professional corporate operations team in Dubai. This role is fundamental to our organizational framework, requiring a business support professional who can deliver front-desk precision for management and calendar alignment performance review. You will be responsible for overseeing executive travel timelines, screening incoming investor lines, curating Minutes of Meetings (MOMs), maintaining secure corporate files, and maintaining a flawless reception aesthetic. We are looking for an individual with a strong foundation in Executive Calendar Logistics, High-Profile Visitor Hospitality, and Confidential Document Control and a proactive approach to corporate communication tracking. 🔹 Key Responsibilities:
- Manage comprehensive executive agendas, complex travel parameters, and high-level meeting arrays to meet management and operational benchmarks.
- Support front-office integrity in Dubai, processing corporate inquiries, organizing visitor passes, and directing stakeholder arrivals with 100% precision.
- Liaise with the Human Resources department, vendor networks, and external institutional panels to facilitate professional organizational coordination of corporate events and internal board meetings.
- Formulate formal business correspondence, generate accurate data summaries, and safeguard sensitive data matrices against unauthorized access.
- Utilize digital Information Technology suites (including MS Word, Excel, PowerPoint, and Outlook) to streamline communications, compile project reports, and archive administrative progress histories.
🔹 Requirements:
- Bachelor’s Degree holder; a Diploma, Degree, or Certificate in Business Administration, Office Management, or a related sector is preferred.
- A minimum of 4 to 5 years of professional experience as an Executive Assistant, Receptionist, or Front Office Administrator within the UAE is mandatory.
- Strong background in management of C-suite schedules, multi-line telephone exchanges, and executive reporting frameworks.
- Professional background in education regarding corporate etiquette guidelines, records management protocols, and professional English communication standards (written and spoken).
- Excellent presentation, client-handling, and interpersonal skills, with prior experience in fast-paced corporate environments like investment, wealth management, real estate advisory, or luxury hospitality groups.
- Ability to demonstrate operational excellence, address multiple urgent administrative tasks under tight daily deadlines, and thrive in a high-trust Dubai financial district office.
