Job Description:
We are seeking an exceptionally organized, precise, and proactive Office Admin cum Secretary to manage daily administrative pipelines, advanced executive correspondence workflows, and technical document tracking tracks at our corporate facility in Abu Dhabi. 🔹 Key Responsibilities:
- Provide high-level administrative and comprehensive secretarial support fluidly to ensure seamless day-to-day corporate office operations.
- Prepare, structure, compile, and finalize commercial price quotations, service invoices, and related project estimation documentation.
- Arrange, schedule, and log technical site visits, executive meetings, and calendar agendas between engineering teams and corporate clients.
- Manage high-volume corporate email repositories, incoming telephone calls, front-desk inquiries, and general corporate correspondence professionally.
- Assist with basic bookkeeping, transactional expense tracking, voucher filing, and foundational financial record maintenance.
- Support technical documentation teams with Motor Control Center (MCC) submittals, data sheet archiving, and foundational AutoCAD drawing adjustments.
- Coordinate cross-functionally with field technicians, project managers, and suppliers to eliminate corporate operational bottlenecks.
🔹 Requirements:
- Minimum of 3 or more years of continuous, verified professional experience within secretarial, executive assistant, or office admin roles is required.
- Strong, verified baseline understanding of basic bookkeeping rules, dual-entry accounting variables, and transaction filing.
- Practical working knowledge or introductory training in AutoCAD software to interpret and adjust basic spatial blueprints or floor layouts.
- Familiarity with modern AI productivity tools, automated transcription software, and advanced corporate office suites is highly advantageous.
- Exceptional presentation, organizational coordination, and multi-tasking capabilities to handle a fast-paced engineering environment independently.
- Flawless verbal and written communication command over the English language to interface cleanly with corporate stakeholders and executive boards.
