Job Description:

We are seeking an exceptionally organized, detail-oriented Admin Officer to oversee daily workplace systems and regulate centralized clerical workflows for a reputable organization in Al Ain. Operating as a principal point of contact within the corporate services unit, this full-time role focuses on safeguarding master company records, coordinating essential executive schedules, and auditing frontline workplace logistics under our integrated operational management framework.

🔹 Key Responsibilities:

  • Oversee day-to-day corporate office operations to maintain a highly systematic, safe, and professional working environment.
  • Manage commercial office supply inventories, coordinate equipment maintenance contracts, and resolve general facilities needs efficiently.
  • Maintain precise physical and digital filing systems, governing the accessibility and security of all corporate documentation.
  • Handle incoming corporate telephone traffic, manage generic email portals, and greet visiting corporate stakeholders as the main front-of-house anchor.
  • Assist executive management teams with calendar scheduling, preparing meeting agendas, and recording definitive minutes of meetings.
  • Coordinate corporate travel itineraries, flight accommodation logistics, and high-level executive administrative hospitality pipelines.
  • Collaborate closely with internal divisions to manage employee onboarding documentation, training material assemblies, and updated hr jobs tracking metrics.
  • Liaise professionally with regional government authorities, municipal utility vendors, and external commercial partners when required.
  • Prepare monthly administrative expense sheets, operational summaries, and maintain updated organizational contact databases.

🔹 Requirements:

  • Bachelor’s Degree in Business Administration, Office Management, Organizational Psychology, or a related commercial discipline from a recognized institution.
  • Proven, successful professional experience operating within an administrative officer, executive secretary, or workplace coordinator capacity strictly within the UAE.
  • Advanced technical mastery of Microsoft Office Suite, showcasing high efficiency using Excel spreadsheets, Word templates, and Outlook calendar systems.
  • Deep familiarity with modern office filing standards, inventory tracking protocols, and general vendor coordination practices.
  • Excellent verbal and written English communication skills paired with an elegant, clear, and professional conversational demeanor.
  • Strong multitasking capabilities, logical problem-solving abilities, and an exceptionally disciplined approach to time management.
  • Currently based in or fully prepared to relocate permanently to the city of Al Ain, holding a highly proactive and collaborative approach to office support.
  • Immediate availability to accept employment is highly preferred to ensure quick onboarding integration.
