Job Description:

We are executing a strategic dual-function appointment within our central operations division and are seeking a proactive, highly organized Office Administrator & PRO to govern corporate administration pipelines and direct institutional government relations pathways in Dubai. Designed for visionary corporate support specialists who possess a reliable history within the legal services sector and excel at coordinating fast-paced compliance cycles, this full-time on-site role focuses on accelerating document processing speeds, auditing corporate license logs, and maximizing statutory data accuracy under our integrated corporate management framework.

🔹 Key Responsibilities:

  • Manage daily office operations, governing official executive correspondence, professional calendar scheduling, and administrative client support workflows.
  • Maintain clear, accurate, and structurally secure physical and digital filing systems for legal contracts, corporate records, and official certificates.
  • Coordinate corporate vendor relationships, oversee office supply procurement tracks, and manage human resource onboarding files.
  • Process and govern corporate residency visa pipelines, Emirates ID registration flows, labor card applications, and official immigration entry permits.
  • Handle trade license issuance routines, structural corporate amendments, and regulatory data updates for mainland and free zone entities.
  • Liaise directly with UAE government departments and ministries, including MOHRE, GDRFA, ICP, DED, and related authorities.
  • Maintain comprehensive regulatory calendars to ensure all corporate document renewals and statutory deadlines are met proactively.
  • Coordinate advanced legal document attestation, certificate legalization, and Ministry of Foreign Affairs (MOFAIC) submission routines.

🔹 Requirements:

  • Bachelor’s Degree, specialized professional diploma, or a matching accredited business administration baseline is preferred.
  • A minimum of 3 years of verified, hands-on UAE professional experience operating strictly in a combined corporate administration and PRO desk environment.
  • Advanced technical data literacy with practical proficiency deploying compliance tracking calendars, license grids, and record matrices inside Microsoft Office applications and enterprise databases.
  • Deep, comprehensive operational knowledge across the following regulatory domains:
    • Mainland (DED) and free zone licensing structures, commercial establishment processes, and corporate compliance laws.
    • Immigration portal navigation pathways, including hands-on processing within MOHRE, GDRFA, ICP, Tasheel, and AMER.
    • Legal administration techniques, complex file organization models, executive support practices, and documentation control.
    • Document attestation pipelines, legalization frameworks, and statutory government ministry submission steps.
  • Outstanding structural organization capabilities, strict attention to legal details, high multitasking strengths under time constraints, and adaptive analytical problem-solving skills.
  • Mandatory professional verbal and written fluency in the English language; additional conversational literacy in German, French, Spanish, Italian, or Arabic will be treated as an elite operational asset.

Preferred Qualifications:

  • Prior verified professional experience working inside an established corporate law firm, regional legal consultancy, or premium business setup agency is highly preferred.
