Job Description:

We are executing a strategic professional appointment within our central administrative division and are seeking a meticulous, organized Admin Assistant to govern internal office documentation pipelines and direct routine communication pathways in Abu Dhabi. 🔹 Key Responsibilities:

  • Manage daily administrative workflows, front office operations, and general organizational support activities seamlessly.
  • Handle multi-layered corporate documentation, executing strict indexing, archiving, and secure digital record-keeping routines.
  • Coordinate internal and external office communications, filtering emails, sorting mail, and routing correspondence correctly.
  • Prepare structured business reports, official corporate letters, legal notices, and comprehensive administrative summaries.
  • Support branch-wide scheduling requirements, setting meeting timelines, coordinating agendas, and organizing digital calendars.
  • Maintain organized, audit-ready operational records, verifying data accuracy across client accounts and vendor manifests.
  • Collaborate closely with procurement teams and facilities coordinators to monitor supply levels and manage logistics pipelines.

🔹 Requirements:

  • Bachelor’s Degree or a recognized professional Diploma in Business Administration, Office Management, Commerce, or a matching accredited trade field is preferred.
  • Proven professional operational history operating an administrative desk or managing an office support portfolio, explicitly showing success within a fast-paced corporate environment, hospitality, or facilities management sectors.
  • Advanced interactive data literacy with extensive practical capability deploying the Microsoft Office suite, handling mail merge tasks, and configuring tracking tables inside MS Excel.
  • Deep, comprehensive operational knowledge across the following primary functional dimensions:
    • Office administration procedures, records management rules, indexing methods, and file routing layouts.
    • Professional corporate communication layouts using Microsoft Outlook, vocabulary conventions, and executive scheduling protocols.
    • Document compilation techniques using Microsoft Word, template building, format auditing, and copy editing benchmarks.
    • Front desk operations tracking, database entry routines, information security paths, and cross-team coordination workflows.
