Job Description:

We are executing a strategic professional appointment within our core executive administration wing and are seeking a proactive, highly organized Personal Secretary to govern executive itinerary pipelines and direct complex corporate documentation pathways in Umm Al Quwain. 🔹 Key Responsibilities:

  • Provide comprehensive, high-touch administrative and secretarial support to executive leadership panels.
  • Manage intricate corporate calendars, arrange strategic appointments, synchronize cross-functional meetings, and coordinate complex travel itineraries.
  • Prepare high-end business correspondence, strategic corporate reports, visual executive presentations, and official documentation.
  • Organize, index, and protect highly confidential files, corporate governance records, and internal project databases securely.
  • Coordinate and screen internal and external communications, acting as a professional corporate liaison on behalf of executive management.
  • Monitor operational project deadlines, track executive action items, and ensure the timely completion of assigned team tasks.
  • Handle sensitive enterprise metrics and proprietary organizational details with the highest level of absolute discretion and confidentiality.
  • Support general corporate office administration workflows, resource tracking, and administrative coordination routines smoothly.

🔹 Requirements:

  • Bachelor’s Degree, Professional Diploma, or an accredited technical certificate in Business Administration, Office Management, Corporate Services, or a matching administrative discipline is preferred.
  • A minimum of 2 to 3+ years of verified, high-performance professional history operating an executive support desk, running a secretarial portfolio, or managing corporate administrative pipelines, with a distinct competitive advantage extended to candidates holding prior experience within the United Arab Emirates marketplace.
  • Advanced digital workspace literacy with extensive practical capability deploying the full MS Office suite (Word, Excel, PowerPoint, Outlook), navigating cloud scheduling software, and maintaining tracking sheets inside MS Excel.
  • Deep, comprehensive operational knowledge across the following primary functional dimensions:
    • Executive and administrative support workflows, office management procedures, and elite corporate sekretariat logic.
    • Advanced document preparation parameters, document layout formatting in Microsoft Word, and complex data presentation mapping in PowerPoint.
    • Professional business communication standards, corporate letter writing conventions, vocabulary etiquette, and inbox management methods.
    • Calendar and schedule management processes, timezone synchronization math, meeting room logistics, and conflict mitigation routines.
    • Records management, systematic directory indexing, digital archiving rules, and information security classification models.
