Job Description:

We are seeking a professional and well-organized Reception & Administrative Assistant to join our team in Dubai. This role is fundamental to our corporate framework, acting as the first point of contact for visitors and ensuring a welcoming atmosphere while managing critical front-desk operations. You will be responsible for handling high-volume communications, maintaining organized filing systems, and supporting the HR and Finance teams for management review. We are looking for a proactive individual with a strong background in customer service who thrives in a fast-paced, multi-departmental office environment. 🔹 Key Responsibilities:

  • Manage front-desk operations, including incoming calls and emails, to support sales inquiries and client relations.
  • Maintain highly organized filing systems and accurate documentation to ensure operational management efficiency.
  • Coordinate meetings, manage executive calendars, and assist in preparing professional reports and presentations.
  • Liaise with the Human Resources and Finance departments on day-to-day administrative tasks and cross-departmental coordination.
  • Utilize Information Technology and MS Office tools to manage office supplies and vendor coordination.

🔹 Requirements:

  • Bachelor’s Degree or Diploma in Business Administration, Office Management, or a related field.
  • 1 to 2 years of professional experience in reception or administrative assistant roles.
  • Strong proficiency in MS Office (Word, Excel, Outlook) and modern office Information Technology.
  • Strong background in management of front-office logistics and professional visitor handling.
  • Professional background in education or training regarding corporate communication and business etiquette.
  • Capability to coordinate with engineering and project teams for scheduling and internal documentation needs.
